    Executive Assistant for the CEO and general administrative support for General Counsel (GC).




    Duties & Responsibilities


    • Perform a wide variety of executive secretarial and administrative duties as required.
    • Receive and screen telephone calls to the CEO and GC. Provide assistance using independent judgment to determine those requiring priority attention. Prioritize, channel, and facilitate communications.
    • Route telephone calls elsewhere as needed. Arrange "callbacks" to protect manager’s time and provide back-up materials for callbacks.
    • Manage appointment schedules and calendars. Ascertain which events require manager’s presence.
    • Make travel arrangements for the CEO and GC through internal or outside agents, providing itinerary, trip file and supplies.
    • Compile and edit presentations for board, other executive meetings, and Town Halls.
    • Arrange essential mail in priority action order and independently respond to letters and general correspondence of a routine nature.
    • Assist legal group with licensing matters
    • Review and summarize miscellaneous reports, presentations and documents; prepare background documents as necessary.
    • Arrange meetings and conferences, including any required equipment and refreshments.
    • Check deadlines on incoming requests
    • Maintain legal and corporate file rooms and stock of product.
    • Edit legal documents based on GC markup and comments.
    • Prepare and submit expense reports.



    Skills & Abilities

    • Proven ability to multi-task, juggle multiple projects and effectively determine priorities.
    • Strong computer skills – Power user of Word and PowerPoint. Good working knowledge of Excel.
    • Flexibility, excellent interpersonal skills, project coordination experience, and the ability to work well with all levels of internal management and staff, as well as outside clients and vendors.  
    • Sense of urgency, good attitude and work ethic, quick learner.
    • Ability to deal with a high volume of work and conflicting demands.
    • Excellent communication skills – written and oral.
    • Ability to work under pressure and meet tight deadlines.
    • Attention to detail and strong organizational skills.
    • Ability to troubleshoot and resolve unexpected issues quickly and efficiently.
    • Ability to push back when necessary in a firm but polite manner.
    • Poise and professional demeanor.



    • 6+ years experience assisting senior executives.



    • College degree preferred.
