Memorabilia Coordinator supports a number of different inventory and fulfillment activities, including Cutting and Autograph departments activities, when necessary.

The primary role of this position is maintain accuracy of Inventory of Memorabilia while pulling inventory based on material requirements specified by each program and transacting in real time. Memorabilia Coordinator will support Memorabilia team members to effectively achieve goals set by Department Supervisor. He / She will maintain Relic Project Management file with deadlines and vendor schedules in order to support efficient resource allocation. He/she will work closely with Brand to reduce the Needs for each program assessed. He /She will closely work with Cutting department to ensure programs staged are cut as per cutting instructions and shipped on time to Vendors. When necessary, he/she will also support relic cutting department to cut relic pieces.


  • Inventory Management
    • Support Memorabilia receiving process with cross checking items received on the wagon vs packing list
    • Support in Memorabilia document maintenance process by
      • Identifying items that don’t exist in Oracle and putting them in a new item template
      • Receiving them into Oracle after items are created and costs are updated
    • Closely work with Brand to provide material requirement sheets based off current program’s subject Lists
    • Pull items per subject/team and transact into Oracle in real time
    • Add to Relic Needs list of subjects/items that appear as need, when assessment is complete
    • Ensure accuracy of Needs list each time items received in Scranton by:
      • Checking daily receipts
      • Pulling items after receipts are transacted in Oracle
      • Posting Needs List in Content central with updated info for Brand team
    • Sign off with BOM team to confirm accuracy of specs before commencing relic cutting
    • Stage programs for cutting as per Topps SOP
    • Review cut pieces per subject and size/type before shipping to Vendor
    • Coordinate with Vendor to get shortage report within 48 hours to provide additional relics for assembly when necessary
    • Perform returns after cutting is complete for the product
    • Ensure all reserved items are expensed to program to correct accounting strings in Oracle after end of each job
    • Maintain accurate information in Assessment /product Management schedule:
      • Vendor, Relic In Date,
      • Redemptions Due In Date, whether product has been pulled,
      • COA code to use, date the product was consumed and date the product was shipped
    • Support midyear and year end physical count of relics
  • Redemptions
    • Ensure all relics are reserved and cut for backorder when PCR is issued for relics to be shipped to Vendor with current programs
    • Ensure correct redemption rates are published for relics when assessment/cutting is completed or in progress PM schedule daily.
  • Other duties
    • Create requisitions for supplies and follow up with orders to be placed and delivered on time
    • Coordinate with Vendor on delivery of WWE and UFC mats for sanitizing and cutting as per Topps SOP
    • Assist with cutting department’s duties when necessary
    • Assist auto redemption department to fill the gaps for certain tasks when necessary


  •    Skills & Abilities

    • Must have in depth MS office knowledge (Excel, etc.)
    • Must have in depth knowledge of Sports, particularly BB and MLS, WWE and UFC
    • Knowledge of ERP system, preferable Oracle
    • Strong attention to detail and quick learning ability 
  •    Experience / Education

    • Bachelor’s degree is required
